Your office manager just gave notice. Or maybe there was no notice, they just stopped showing up. Either way, you are staring at a hole bigger than you realized, because this was the person who knew where everything was, remembered what needed doing, and handled the stuff nobody else thought to do.
Most owners do the same thing next: post the job that day, get someone in the seat as fast as possible. That is usually the wrong move.
Run the autopsy first
Before you hire, run the Office Manager Autopsy: spend one week writing down what the job actually was. Not the job description, what the person actually did. Every recurring task. Every can you just handle that. Every time something got done because they figured it out.
Do this and you will find three things. Half of it was undocumented and invisible. Some of it does not need to happen at all. And a few pieces probably should not sit with one person anyway.
Why the fast rehire backfires
Hire before you run the autopsy, and you will either overwhelm the new person or underutilize them. You will be back in the same spot within a year.
